Welcome to HostSync! 🚀 This guide was created to help new users get started on the platform, from creating your first property to setting up rooms, prices, and offers.
1. 🏠 Add your First Property #
Before you start synchronizing bookings and managing your accommodation, you need to create your first property on HostSync. You can do this in two ways: by creating it manually or importing it directly from Airbnb or Booking.com.
1.1 📌 how to Create a New Property #
- In the main menu, go to Settings ⚙️ > Properties. Here you can add a new property
- Fill in the fields:
- Property Type – e.g., “Apartment, Guesthouse, Hotel”
- Property Name – e.g., “Belavista Apartment”
- Full Address – address where the property is located.
- Capacity – maximum number of guests.
- Features – In this section, you should select the features and amenities your property offers to guests.
- 🏡 Apartments or holiday homes: you can add all available features, such as Wi-Fi, parking, air conditioning, pool, among others.
- 🏨 Hotels, guesthouses, or properties with multiple room types: here you should indicate only the general features of the property, meaning those that all guests can use, regardless of the room they stay in.
- Later, when creating each room type, you can add the specific features of each unit, such as balcony, kitchenette, sea view, etc.
- When creating your property manually, you will find several additional fields besides those mentioned above.
- Please fill in as many fields as possible – the more complete the information, the easier it will be to manage your property and ensure correct integration with booking channels.
- Most fields are self-explanatory and include information such as detailed location, contacts, Currency.
- Even if not all are mandatory, we recommend filling them in whenever possible to achieve better synchronization results and visibility on channels.
- Save the changes to create the property in the system.
1.2 📥 Import a Property from Airbnb #
If your accommodation is already listed on Airbnb, you can import all the information with just a few clicks:
- Go to Settings ⚙️ > Channel Management > AirBnB.
- Click on “Connect with AirBnb”
- Log in to your Airbnb account and authorize the connection, after authorization the page should return to HostSync.
- Now click on “View Listings”
- Select the property(ies) you wish to import one by one.
- HostSync will automatically create the property and the respective unit types (rooms), importing all descriptions and prices from AirBnb
⚠️ Attention:
After importing the properties from Airbnb, they are not yet connected or synchronizing with your account.
In the next step, we will show you how to complete the connection so that synchronization with Airbnb becomes active.
To connect your properties to the listings on Airbnb, go to Settings ⚙️ > Channel Management > Airbnb > Associate and click on “Connect”.
Then, select the corresponding listing for each property to complete the connection.
1.3 📥 Import a Property from Booking.Com #
To import your property directly from Booking.com to HostSync, you first need to properly set up the connection in the Booking.com extranet.
Follow these steps:
- Access the Booking.com extranet and click on the account icon (top right corner).
- Select “Connectivity Provider”.
- If you are already connected to another channel manager, click on “Switch Provider”.
- Otherwise, search for and select “Beds24” as the connectivity provider.
- After confirming the change, return to HostSync.
- In the menu, go to Settings ⚙️ > Properties.
- Click the “Import from Booking.com” button.
✅ Once the import is complete, your property and the respective unit types will be automatically created in HostSync, ready to be managed and synchronized.
⚠️ Attention:
After importing the properties from Booking.com, they are not yet connected or synchronizing with your account.
In the next step, we will show you how to complete the connection so that synchronization with Booking.com becomes active.
To complete the connection with Booking.com, go to Settings ⚙️ > Channel Management > Booking.com.
In the “Associate Room” section, enable the “Enable = Activated” option.
Then, click on “Get Codes” and associate each room type in HostSync with the corresponding room type in your Booking.com account to complete the synchronization.
Don’t forget to save the changes
2. 🛏️ Set up Rooms and Room Types #
🏷️ What is a Room Type #
A room type represents the unit that will be booked by guests and can have different meanings depending on the type of accommodation:
- 🏡 Holiday homes or apartments (rented in full):
The room type corresponds to the entire unit (for example, a whole apartment).- You should indicate in the features the actual number of rooms available.
- Also confirm the maximum number of guests the unit can accommodate.
- In these cases, the number of available units is usually 1 per room type.
- 🏨 Hotels, guesthouses, or accommodations with multiple rooms:
The room type defines the category of the room — for example, Single, Double, Suite, etc.- Each room type can have several units available of the same category.
- This allows managing availability and prices centrally by category.
In summary, the room type is the foundation of your inventory structure in HostSync and should accurately reflect what the guest books and how many people can be accommodated.
⚠️ Note: If your property was imported from Airbnb or Booking.com, the unit types will be created automatically.
Otherwise, you can add them manually by following the steps below:
2.1 ➕ how to Add Rooms and Configure Capacity, Features, and Amenities #
- Access HostSync and go to Settings ⚙️ > Properties > Rooms.
- Click on “Add New Room” to add a room type
- Fill in:
- Room Name (e.g., Double Room with Sea View)
- Room Type
- Quantity of this type
- Maximum Guests
- Amenities (Wi-Fi, Air conditioning, etc.)
- Features here you will configure the specific features of the room type
- Save the changes.
2.2 💶 Create Daily Rates #
The Daily Rates are the foundation of your pricing system in HostSync.
2.2.1 📊 What are Daily Rates #
“Daily Rates” are rate plans that define the base price per night for each room type.
They allow for different prices throughout the year, apply restrictions (such as minimum stay), and create flexible strategies.
2.2.2 ✏️ how to Enter Prices #
- In the calendar, locate the price line corresponding to the room type.
- A pop-up window will open, where you can:
- Set until what date the price applies.
- Enter the value per night.
- Select which days of the week the price should apply.
- Save the changes to activate the new price.
2.3 🎯 Create Offers #
Offers allow you to create alternative rates with special conditions, ideal for promotions or different stay regimes.
2.3.1 🎯 What are Offers #
An offer is the combination of a price with a specific set of conditions.
The Offer 1 is usually your default offer, which is always active (unless you manually deactivate it) and represents the base conditions of your booking.
Additionally, you can create additional offers to present your guests with different price and condition options on your booking page — for example:
- 💶 Refundable and non-refundable rates
- 📦 Special packages (e.g., stay + breakfast included)
- 🏷️ Discounts for long stays
✅ Offers make your accommodation more flexible and attractive, allowing you to present various options to the guest at the time of booking.
2.3.2 ⚙️ how to Set up Offers #
- Go to Properties > Offers.
- You can create or modify offers.
- Define:
- Offer Name
- Reservation Type
- Allow Cancellations
- Name
- Description
- Save to activate the offer.
🎯 What are Offers #
An offer is the combination of a price with a specific set of conditions.
The Offer 1 is usually your default offer, which is always active (unless you manually deactivate it) and represents the base conditions of your booking.
Additionally, you can create additional offers to present your guests with different price and condition options on your booking page — for example:
- 💶 Refundable and non-refundable rates
- 📦 Special packages (e.g., stay + breakfast included)
- 🏷️ Discounts for long stays
🔗 Link Daily Rates to an Offer #
Each daily rate must be associated with an offer. This link allows you to define the restrictions and conditions applicable to the price, such as cancellation policies, minimum stay, maximum number of guests, or refund rules.
Without this association, the price will not have defined conditions and cannot be correctly displayed on booking pages.
✅ By linking a daily rate to an offer, you are transforming a simple nightly rate into a complete and ready-to-sell tariff.
